Events are a source of stress for many. Webcasts are no exception. The difference is only in the format of the event. To help you stay confident and calm throughout your official webcasts, here are 7 tips that we apply in each of our events. These tips will help you avoid some of the typical problems experienced during live webcasts and ensure the success of your event.

1- Plan your corporate webcast

Your webcast plan should include as much detail as possible. Regardless of the type of digital event you are presenting, this plan will be an important resource for all stakeholders and the production team.
We recommend developing a minute-by-minute timeline for the duration of the event. Information to compile includes:
  • Who is speaking?
  • At what point?
  • When do we interact with the audience?
  • What kinds of interactions are we talking about?
  • How long are the question periods?
  • When do we play a pre-recorded video or background music?
  • And more.

2- Prepare contingencies

Be prepared for all eventualities by preparing a plan B, a plan C, and even a plan D. In events, many things can go wrong. These can include technical issues such as loss of sound or video, or organizational issues such as a change of presenter or a last-minute cancellation.

Consider creating a slide to announce the problem to the audience. You can easily post it to alert your audience.

By having workarounds for the most common concerns, you can have peace of mind throughout your official webcast. It's better to have a backup plan that you don't use than to have to find a solution in the heat of the moment.

3- Organize a dress rehearsal

Before your event, hold a dress rehearsal with all the speakers. Everyone will know exactly what to expect when the time comes.

It sounds simple, but this step is too often ignored. Don't make this mistake.

4- Test your facilities

It is recommended that you test all your equipment and facilities. This will ensure that everything will work for your event. This includes but is not limited to:

  • Your internet connection
  • Signal acquisition for remote speakers
  • Your PowerPoint, Keynote or other presentation
  • Production equipment (cameras, microphones, etc.)

Your corporate webcast may also include video, music or special lighting that are worth testing. Don't leave anything to chance!

5- Get to know your chosen webcasting platform

Make sure you know the features and especially the limitations of the webcasting platform you have chosen. You will be more reactive in case of a problem and will be able to find solutions more quickly.

6- Practice

Before the official webcast, practice. Rehearse your speech or familiarize yourself with the questions you will ask. The more you know about what you have to say, the more natural your performance will be.

Practice in front of the camera too! It won't be so intimidating when you are filming.

7- Have fun!
